AI Usage & Limitations Policy

Atlas Mind policy

Last updatedDraft, not yet in force

1. Purpose and application

This policy describes the capabilities and limitations of AI-assisted indexing, retrieval, memory and recommendations.

2. Substantive provisions

2.1. System transparency

Users must understand when content is AI-generated, inferred, summarised or transformed and when they are interacting directly with an AI system. Where applicable, comply with Article 50 transparency duties for services supplied in the EU.

2.2. Reliability and provenance

Outputs may be incorrect, omit context, conflate people or documents or reflect stale information. Where feasible the system must present sources, timestamps and project boundaries and provide mechanisms for correction and challenge.

2.3. No consequential reliance

AI results are assistance, not verified statements or regulated professional advice. Users must apply appropriate review before making significant legal, employment, financial, medical, security or other consequential decisions.

2.4. Model inputs and usage limits

Disclose whether model providers receive prompts or retrieved data, the applicable retention and training permissions and any restrictions on sensitive content. Paid quotas and rate limits must match the plan accepted by the user.

2.5. Actions versus suggestions

A proposed action is distinguishable from an executed action. Actions capable of changing external systems must be authorised by effective privileges, logged and subject to human approval where risk warrants it.

3. Customer rights, administration and changes

Nothing in this document is intended to restrict rights that cannot lawfully be excluded, including applicable statutory consumer and data protection rights. Where this document conflicts with mandatory law, the mandatory rule prevails. Complaints, concerns and requests should be directed through the verified contact details published by Forlais.

Forlais may revise this policy to reflect changes in the service, third-party requirements or applicable law. Any revision that materially affects customer rights will be communicated in the manner and timeframe required by the applicable agreement and law.
